Withdrawal Policy

Withdrawal requests must be submitted in writing to the Office of Study Abroad. (In addition, students will be required to submit a Study Abroad Withdrawal Form on the Via TRM website.) Withdrawals are final and cannot be reversed. Participants who cancel or withdraw from a University of Chicago Study Abroad program for any reason will not be reimbursed for any expenses, including the nonrefundable administrative fee.

From the time of admission acceptance, Study Abroad begins making program arrangements on behalf of participants, including student housing, excursions, local language instruction, and many other preparations. Late withdrawals will be assessed a portion of the Study Abroad Program Fee according to the schedule below. Please note that these fees generally represent only a portion of costs already incurred on a student’s behalf.

Unpaid Study Abroad fees, including withdrawal fees, may result in a registration hold. Students who have been placed on hold will not be able to register for courses nor access University services and facilities until their financial obligations or compliance with rules and regulations have been fulfilled.

    Students withdrawing before May 1 will not be assessed additional charges.
    Students withdrawing on May 1 through May 31 will be charged 25% of the program fee.
    Students withdrawing on June 1 through the day before the arrival date of the program will be charged 50% of the program fee.
    Students withdrawing on or after the arrival date of the program will be charged 100% of the program fee.

    Students withdrawing before May 1 will not be assessed additional charges.
    Students withdrawing on May 1 through May 31 will be charged 25% of the program fee.
    Students withdrawing on June 1 through the day before the arrival date of the program will be charged 50% of the program fee.
    Students withdrawing on or after the arrival date of the program will be charged 100% of the program fee.

    Students withdrawing before November 1 will not be assessed additional charges.
    Students withdrawing on November 1 through November 30 will be charged 25% of the program fee.
    Students withdrawing on December 1 through the day before the arrival date of the program will be charged 50% of the program fee.
    Students withdrawing on or after the arrival date of the program will be charged 100% of the program fee.

    Students withdrawing before February 1 will not be assessed additional charges.
    Students withdrawing on February 1 through February 28 (February 29 in leap years) will be charged 25% of the program fee.
    Students withdrawing on March 1 through the day before the arrival date of the program will be charged 50% of the program fee.
    Students withdrawing on or after the arrival date of the program will be charged 100% of the program fee.

    The tuition refund schedule for study abroad follows the same schedule as on campus:

    • 100% of tuition is refunded if a student withdraws by the end of the first week of the quarter (i.e. Friday of 1st week)
    • 65% of tuition is refunded if a student withdraws by the end of the third week of the quarter (i.e. after Friday of 1st week until the end of 3rd week)
    • 50% of tuition is refunded if a student withdraws by the end of the fourth week of the quarter
    • 30% of tuition is refunded if a student withdraws by the end of the fifth week of the quarter
    • 0% of tuition is refunded if a student withdraws at the beginning of the sixth week of the quarter or later.

    The Study Abroad program fee and administrative fee remain nonrefundable.

    This schedule applies to all students, irrespective of reason for withdrawal.
